You will be proactive, resilient and well organised, with strong communication skills and a genuine interest in building a long-term career across sales, business development and marketing.
You should have:
- Around one to five years’ experience in sales, business development, marketing, account management or another relevant customer-facing role.

- A self-motivated and proactive approach, with the resilience to develop opportunities over time.
- A positive attitude towards targets, lead generation and uncapped commission.
- Strong written and verbal communication skills, with the judgement to adapt your approach to different audiences.
- Good organisation, attention to detail and the ability to manage your own tasks and follow-ups.
- A genuine interest in developing your commercial, sales and marketing skills within an established industry.
- A collaborative and professional approach that reflects our values: professionalism, integrity, innovation, passion and partnership.
It would also be beneficial to have:
- A degree in sales, marketing, business or a related subject, although strong relevant experience and potential are equally important.

Contracts Administrator
Contracts Administrator
Location: Surbiton, Surrey (projects across London and the South East)
Type: Full-Time
Salary: Competitive + Benefits
Â
Your Objective
You will provide accurate, well-organised administrative and commercial support to the Contracts department, ensuring every live project is set up correctly, properly documented and delivered on time and to the required standard.
You will be the person who makes sure nothing slips through the gaps and, increasingly, the first point of contact clients can rely on for a prompt and professional response.
All our projects involve the refurbishment and re-roofing of existing, occupied buildings rather than new-build roofing. You will support a busy team working across flat roofing, pitched roofing, and sheeting and cladding, so an organised and methodical approach, together with clear communication, is essential.
This role also makes extensive use of AI, including Claude, as an everyday working tool. You do not need to be an expert, but you must be confident using AI or genuinely enthusiastic about learning how to use it effectively.
Â
The Role
- Create every project folder promptly, structure it correctly and keep it current throughout the project lifecycle without needing to be prompted.
- Maintain accurate and up-to-date records across all live projects, updating information as projects develop rather than at the last minute.
- Attend pre-start site meetings, gather the information required to set projects up correctly from day one and follow up on outstanding actions.
- Prepare every site box ahead of the project commencing, ensuring it contains all documentation, safety materials and PPE specified by the Contracts Manager.
- Use a clear checklist when preparing site boxes to ensure nothing is overlooked or missing.
- Produce near-complete Construction Phase Plans using available system information and handover notes, using AI to accelerate the drafting process and approaching Contracts Managers only for genuinely outstanding details.
- Prepare accurate Health & Safety files and O&M manuals ahead of completion so they can be issued to the client promptly at handover.
- File all project reports and associated documentation accurately, promptly and consistently, ensuring records remain organised, compliant and accessible.
- Register applicable projects with the NFRC CPS scheme at the appropriate time.
- Track scaffold and skip licences, including expiry dates and renewals.
- Help ensure the department remains compliant with ISO 9001 requirements.
- Build and maintain sub-contractor portals and Health & Safety libraries, ensuring certifications, training records and supporting documentation remain current.
- Arrange training for sub-contractors and departmental employees, maintaining the necessary records to support ongoing compliance.
- Place supplier and sub-contractor orders promptly and accurately, keeping Contracts Managers informed of their status without needing to be chased.
- Issue monthly hire reports and arrange hire extensions for every live project before month-end, highlighting potential overspends at an early stage.
- Issue weekly cost reports to support Contracts Managers with project forecasting, increasingly using AI to compile the information efficiently.
- Develop the commercial understanding needed to add greater value to project cost reporting and forecasting over time.
- Issue the weekly toolbox talk subject to all Contracts Managers.
- Produce a clear weekly report identifying missing site visit reports and follow up with the relevant team members.
- Support Contracts Managers with sourcing labour and project planning, anticipating resourcing requirements rather than only responding to requests.
- Coordinate between internal teams and clients to ensure no query or concern is left without a response.
- Work towards providing clients with proactive updates throughout each stage of the project.
- Organise and help lead departmental meetings, issuing reminders beforehand and ensuring the relevant people are prepared.
- Take meeting minutes, using AI to produce and refine the first draft, and distribute them within 48 hours.
- Carry out a monthly audit of office PPE and Health & Safety signage stock to ensure essential items do not run out.
- Identify and report any missing first-aid items to the Contracts Managers.
- Ensure instructions issued by the Director and Senior Contracts Manager are actioned promptly by the team, escalating anything that remains outstanding.
This job description outlines the principal responsibilities of the position. You may also be asked to undertake other reasonable duties appropriate to the role.
Â
Growing in the Role
This is a role you can build on. As you develop, we would expect you to take on more of the commercial and technical responsibilities within the department. This will include:
- Strengthening your understanding of contract terms, payment structures and contractual obligations.
- Building your knowledge of roofing products, materials and systems to improve the quality of O&M manuals and the technical support you provide.
- Providing further support to Contracts Managers with applications, forecasting and budgetary management.
- Taking a more proactive role in producing RAMS, preparing them to a near-approval standard for Contracts Managers to review and sign off.
- Becoming a reliable first point of contact for clients throughout the full project lifecycle.
Â
What We’re Looking For
Essential
- Excellent organisation and time-management skills, with the discipline to keep multiple live projects on track simultaneously.
- A methodical and detail-focused approach to documentation, record-keeping and compliance.
- A high standard of spoken and written English.
- Confident and professional communication with clients, colleagues and members of the supply chain.
- Strong working knowledge of Microsoft Office, particularly Excel, Word and Outlook.
- Confidence using AI tools such as Claude, or the ability and enthusiasm to learn new systems quickly.
- A proactive approach, with the ability to anticipate what is required and act before being asked.
- A full, clean UK driving licence.
Desirable
- Previous administrative or contracts support experience, ideally within construction, roofing or a related trade.
Â
The Benefits of Building Your Career With Us
- A competitive salary with a clear route for progression as the role and department develop.
- A minimum of 20 hours of internal and external training each year.
- Hands-on experience with AI tools such as Claude, together with training to use them effectively.
- Mentoring and practical exposure across live commercial projects, working directly alongside the Senior Contracts Manager and wider Contracts team.
- Flexible working.
- Company pension contribution.
- 25 days’ annual leave, in addition to bank holidays.
- Quarterly company events and team activities.
- Additional benefits, including a wellbeing allowance, gym discounts, retail discount packages and the Cycle to Work scheme.

We often carry out external refurbishment works, usually as part of a roofing project. This

Finalise and submit completed tenders and proposals accurately and on time.
Prepare condition reports and budget estimates when required, advising clients on suitable solutions to problems affecting their buildings.
Develop strong, long-term relationships with existing and prospective clients.
Price additional works and variations arising on live contracts.
Prepare tenders carefully and accurately, ensuring proposed prices and profit margins align with the company’s commercial objectives.
Manage your workload effectively, meeting quotation and tender deadlines while prioritising the strongest opportunities.
Maintain clear and accurate records throughout the estimating process, saving all documentation in accordance with company procedures.
Keep the company database updated with details of client communications and activity, ensuring accurate information is available to colleagues.
Follow up quotations and tenders promptly, maintaining records of the outcomes and sharing relevant commercial intelligence with the Commercial Manager.
Ensure all client communications are clear, professional and easy to understand. Proposals should meet the client’s requirements, communicate the benefits of appointing Maguire Brothers and consistently reflect our values, positioning and corporate identity.
